Old Business:

During our last Executive Board meeting held on April 30th, the request was made to hear from others by mid-May regarding the possibility of having or not having a modified ride in lieu of the Fall Century 

Here are the excerpts (E) that have been received as of Friday, May 22, 2020

·       Brennan - I think this is not the year to go from business to business asking for donations. Most businesses are struggling on a level never seen.  My workplace has cut 15% of its work's force and rumors are there will be another round in the 2nd quarter.  I am forced to take to take one week off without pay in June.
I think this year's event would be a great way to recruit somebody to chair it for 2021.
If we put on the Fall Century this year, I think the rest stops will have to under tight control.  The volunteers are pouring the water and Gatorade from a pitcher into the rider's water bottles and any snacks are packaged.  I think we should plan on one maybe two rest stops.  I would like to see the proceeds for this event go to the after-school Bike Club.

·       Ross - If we use Riverwalk Crossings in Jenks for the start I suggest we stage in the north end of the complex, north of the Flying T.  There are only office complexes in that area, and we shouldn’t disturb any weekend work/customer activities there.  We should have a couple of porta johns and hand washing stations there.  If we have any food truck(s) we need to have trash cans available.  I don’t know if the Creek Nation (who now owns River Walk crossing) has any prohibitions against food trucks since they have a bunch of restaurants as tenets.  One solution to that might to be to use Andolini’s food truck side they’re a tenet.  Figuring out the rest stop poses a problem for me.  If we only have 50 or so riders do the long route, I’m fine with using a c-store for the stop, if we can get permission.  The Mounds store isn’t ideal because any groups gathering tend to disrupt the flow into the store and parking.  The Liberty store has a lot more area (but a less than ideal bathroom situation) and that would require crossing Highway 75.  I think that people paying a fee for a ride would expect free food, drink, and bathrooms at a rest stop, which would require us to find volunteers, a location and to rent a porta john and handwashing station.
The minimum insurance premium for a special event is $273.  We would need at least 52 non-club members on the ride to avoid paying more than $5.26 per person for non-club member insurance.

·       Wayne - When you contact Derek and Jayne again see if you can get the information, they have about putting on the Fall Century.  Even if we ultimately decide not to have the ride this year, we’ll need it for the future.  Among the things I can think of that we need to know are:
*  Contact information for Whirlpool and each of the rest stops.
*  Contact information for people who worked the rest stops.
*  What businesses donated items for the ride and how much they donated or what would have to be purchased if we don’t go after donations.
*  Contacts for vendors that we’ve used in the past.  I’m thinking porta johns, but I’m sure there more than that.  I remember that at least one year there was a food truck at Whirlpool and we’ve rented a truck to haul stuff to the rest stops.
*  An approximate timeline for completing each of the steps involved in putting on the event.

·       Gary to Derek - Friends, Would you happen to have a folder in your documents titled Fall Century?
Perhaps it contains names of volunteers, donors, rest stop information, etc.
I remember that you thought it potentially refreshing to begin from scratch, but having an idea of possibilities would be akin to having a road map to help guide us.
By the way, no official decision has been made re: this year's Fall Century.
And no plans have yet been made to move forward.
June is just around the corner and we're waiting ever so patiently.

Derek’s reply to Gary - Most of the volunteers at least for the committee were TBC members. The rest stops were personal friends And coworkers helping us as a favor.
We have a folder that tells rest stop people what they need to do. But as far as a master folder, after ten years it was kind of a rote exercise.
We also have a list of what each rest stop received.
As far as donors, we had no list. We called, emailed and chased down (literally sometimes) places to donate food and snacks. The places we were calling are not donating this year due to the heavy hit from COVID 19. Grocery stores might, but as of before we resigned, they were not going to donate.
We have no personal contacts with the donors. It was a matter of knocking on doors. It is an incredible amount of work that we start early. But of course this is an unusual time.

This article references a controversial unpublished paper that analyzes how we produce a slipstream of droplets and potentially viruses as we run or bike. The size of the slipstream is debatable, but likely larger than the social distance standard of six feet. The Wired article says a safe distance between cyclists may be from 16 to 65 feet depending on speed, wind, etc.

This article says it is safe to ride solo in regard to the COVID19 issue but group rides should be avoided. This article references state and CDC guidelines and says 6 feet is the social distance standard but recognizes that distance changes as outside conditions change. Masks and social distancing may help when we encounter others on a ride.

Safer at home is the best option. Trails, Turkey Mountain, and green spaces are open but playgrounds and some picnic areas remain closed. Gatherings of 10 or more are prohibited. You can go for walks, runs, and bike rides, on trails and open park areas for exercise and personal well being, but should maintain physical distance (i.e. be more than 6 feet away from persons who are not part of your household) to avoid spread of the virus. Wearing a cloth face mask is recommended as well.  As always, the health and safety of our staff and residents is our top priority, and we will continue to provide updates and information on our website. ·       I have copied all of the members that I know present at the meeting last night.  There may be one more members who connected by phone but I do not know who that was.  I hope this helps us in making decisions about our upcoming group rides.

 

The Tulsa Bicycle Executive Board officers have not yet made an official decision due to the COVID19 pandemic regarding this year's Fall Century Bike Ride.

It's unlikely that this year's event will have enough volunteers to fully allow us to operate the ride as expected due to the following;

·       We have yet to find a chairperson/s who would be willing to take on this task.

·       Acquiring the necessary volunteers to operate rest stops that will require the continual sanitization necessary for the dispensing of drinks

·       perform the function of being COVIV!D19 free SAG drivers, 

·       procure medical personnel, 

·       find sponsors to donate food and beverages because so many have lost so much revenue, 

·       sanitize port-a-johns

·       perform other functions and tasks.

·       Also, we're not certain what our governmental authorities might decide.

We are, however, considering a significantly modified ride that might take place on the same date.

We will be using the guidelines recommended by the Centers for Disease Control and Prevention (CDC) and the state and city health departments for scheduled Club Rides.

1.     TBC would possibly need the permission of a proprietorship to launch a modified ride.

2.     We would still need to have volunteers remain cautious and vigilant.

3.     The goal would be to potentially raise funds for the Scott Carter Foundation.

4.     Many of us continue to participate in social distancing and continue to maintain protection protocols.

 

It's prudent that if we schedule a modified ride on Sept. 26, the following precautions will be taken.

·       volunteers confirm to no known COVID-19 exposure or symptoms;

·       volunteers take temperatures before each shift;

·       volunteers wear personal protective equipment (PPE) where appropriate; and

·       continually sanitize and disinfect high-touch areas and equipment.

Participants will:

·       confirm to no known COVID-19 exposure and no current illness;

·       confirm to stay at home if sick;

·       confirm to maintain social distancing requirements of a minimum of six feet; and

·       sanitize and disinfect port-a-johns before and after each use

 

Most of the above services and offerings will resume throughout all phases and will be dependent on volumes and COVID-19 related cases in Tulsa County.

Phase III is scheduled to begin June 6th

·       Call for a vote to cancel this year’s Fall Century

·       Call for a vote to tentatively plan a modified ride in lieu of the Fall Century

·       If the above, C, is passed, does anyone wish to volunteer to chair the tentatively Modified Fall Century Ride?

New Business

1.     The guidelines now allow groups of up to 50.  We can resume posting club rides on the web page.

2.     If we voted to tentatively schedule a modified Fall Century Ride and no one form this meeting volunteered, then I suggest the Web Master posts a call for a Club member to volunteer to chair that position.

3.     If no one volunteers to fill that position to undertake the responsibilities by June 24th, then we might consider having a Club Ride and offer Club Members the opportunity to give an “at the door” donation to help support the Scott Carter Foundation thereby continuing our time honored tradition of giving/supporting others in our community.

Comments/Announcements/Other Business

·       Watermelon ride scheduled for Saturday, July 11th

·       Be thinking of who you might want to nominate as your Club’s president in 2021.

·       Next TBC Executive Board Meeting scheduled for Thursday, June 25th

·       Whether or not we'll meet as a group or via teleconference will depend on the reopening of the Hardesty Regional Library.
